Acceptance via Checkbox — No Signature Required.
This document outlines the terms and conditions that govern participation in all
activities, travel, and events organised by THE BIG KEM PROJECT. By checking the
acceptance box on the online registration page, you (the parent/guardian) agree to
all terms stated herein on behalf of your child. This electronic acceptance has the
same legal effect as a written signature.
1 General Participation
- You confirm that your child is physically and medically fit to participate, except for any conditions you have disclosed separately.
- You consent to your child's full participation in all program activities, including travel by any form of public or private transport (air, land, or sea).
- You agree that your child may be photographed and/or filmed as part of the program, and that these images may be used for exhibits, future references, and press related to THE BIG KEM PROJECT.
2 Medical & Emergency Information
- You must provide accurate and complete medical/allergy information before the program starts.
- If your child requires medication during the program, you will supply clear written instructions for administration.
- You will provide emergency contact details that are reachable at all times.
3 Dressing Room & Facility Protocols
- All operational affairs involving children will be supervised by authorised BIG KEM PROJECT staff or representatives.
- Separate changing, showering, and toilet areas will be provided when adults and children share facilities.
- Adults are strictly forbidden from undressing, changing, or showering in front of children or at the same time as children in shared facilities.
- For mixed-gender activities, separate dressing rooms for boys and girls will be provided; if only one room is available, usage will be alternated by time slots.
- Children will never be pressured to change or shower if they feel uncomfortable; alternative arrangements (e.g., at home/hotel) will be encouraged.
- Mobile phones and photographic equipment are prohibited in dressing rooms while children are using them.
- Parents are generally excluded from dressing rooms except in emergencies; if entry is necessary, only a same-sex parent may enter, and a same-sex staff member must be present.
- The program will ensure accessible facilities for children with disabilities, and carers will be involved in planning assistance.
4 Social Media & Communication
- BIG KEM PROJECT staff and representatives are not permitted to be "friends" or have personal connections with junior participants on personal social media accounts.
- All communication with children must occur through official BIG KEM PROJECT channels (e.g., official email, group texts, approved platforms) — never through personal profiles.
- The program will never publish unlawful, abusive, discriminatory, or sexually explicit content.
- Staff are personally responsible for their social media postings and must ensure they are accurate and do not harm the reputation of the program.
- Any online grooming or inappropriate conduct toward children will be immediately reported to the Child Safeguarding team and/or local authorities.
5 Use of Children's Images & Audio-Visual Recordings
- All photographers and videographers will be authorised and clearly identifiable via official tags/lanyards/badges.
- Unsupervised one-to-one photography or video sessions with children under 18 are prohibited. At least one staff member, representative, or the child's parent/guardian must be present during any such session.
- Written consent (this online acceptance serves as that) will be obtained before any images are taken.
- Photography and filming are strictly forbidden in changing areas, toilets, bathrooms, and sleeping quarters.
- Only appropriate images of children, relevant to program activities, will be used; children will be suitably clothed.
- Personal information (full name, address, email, phone, school, hobbies, etc.) will not be displayed alongside any images to prevent misuse.

Image storage protocols require:
- Access only for work-related reasons.
- No sharing of images except for work purposes.
- Hard copies kept in locked storage; electronic files stored in protected, restricted-access folders.
- No storage on unencrypted portable devices (laptops, memory sticks, phones).
- If personal equipment is used, images must be deleted upon project completion.
- Any concerns about image misuse must be raised with the Child Safeguarding team.
6 Travel & Transportation
- You expressly consent to your child travelling for program purposes.
- All drivers will hold a valid, current driving license and will not be under the influence of alcohol or illegal drugs.
- Trip details (location, departure, and return times) will be shared with team managers.
- Whenever possible, children will travel in groups and will always be seated in the back with seatbelts fastened.
- The most direct, safe routes will be taken; no unnecessary detours or stops, and children will not be taken to secluded areas.
- Children will not be left unaccompanied at any destination without prior arrangement.
- Arrival/return updates will be provided to managers via call, SMS, or email.
7 Food, Refreshments & Prayer Time
- All food and beverages provided will be healthy and Halal-certified.
- Adequate time and a suitable space will be allocated for children to perform their daily prayers.
8 Overnight Stays
- Overnight stays (hotels, camps, competition venues) require prior written authorisation from BIG KEM PROJECT management and explicit parental consent (this online acceptance covers that).
- All staff attending overnight stays will be vetted according to local safeguarding guidelines.
- Children may attend formal events (e.g., awards) only if a parent/guardian accompanies them or provides express consent.

During overnight stays, the following standards will be maintained:
- Privacy for children in restrooms and changing areas.
- Appropriate dress codes — no exposure to adult nudity.
- No access for children to pornographic or inappropriate content (films, TV, internet, magazines).
- Children will not be left under the supervision of unauthorised persons (e.g., hotel staff, friends).
- Sleeping arrangements will ensure safety — no adult sleeping in the same bed as a child; adults will sleep in adjacent or nearby rooms for easy monitoring.
- Children have the right to contact parents/guardians if they feel unsafe, uncomfortable, or distressed.
- Children will retain access to their mobile phones or alternative contact methods while away from family.
9 Your Acceptance
By checking the box "I have read and agree to all the Terms & Conditions" on the online registration page, you:
- Confirm that you are the parent or legal guardian of the participating child.
- Acknowledge that you have read, understood, and agree to all sections of this document.
- Grant full consent for your child to participate in all activities, travel, and events of THE BIG KEM PROJECT under the terms set out above.
- Agree that this electronic acceptance is legally binding and replaces the need for a physical signature.
